Click the tab Groups in the main window and the following screen appears.
Assigning persons to groups is easier for making multiple reservations at once. You don’t need to make a reservation for each person separately. If a customers comes alone, you can assign him to his own group. Select a group by clicking the list and fill in the name of the group. For each group you can set a primary contact, just for contacting if there's something wrong. Using the appointment buttons (on the left at the bottom of your screen) you can adjust or delete the selected persons in the list at the left side. Clicking the button [Make appointment] creates an appointment in the agenda for the selected list. The amount of booked lessons and the amount of lessons on invoices are displayed per group at the bottom of the your screen. In case of more booked lessons then invoiced lessons, the amount will light up red to warn you.
Click the button [Managing Groups] and you will see the following pop-up.
The group number is unique and automatically generated and based on the day and time of creation. This way you can see easily when a group is created. Group names can be duplicated, however the names are completely free to choose and can be quite long, so each group can have its own unique name. Suggestions are: Name + Surname or Name + Place.
The groups _Bar and _Teacher are added on default. This way, those groups always stay on top in the list because of the “_”. These groups are created to reach easily your bar staff and teachers. However, you can also select any person from any group to book behind the bar or as a teacher. You can rename _Bar and _Teacher if you want.
Click on the button [Managing Clients] in the window Groups and you will see the following screen.
You can insert multiple persons into a group. Any person may be searched separately through the search function. So, filling in each person’s data as complete as possible will make your search more easy in the future.
You can identify the fields Custom by adding a new name into the language file. Unfortunately there isn’t an interface available yet for this. Would you like to use this functionality and you are not a XML expert? We will help you without any extra costs.
